Item and file allowances

An item counts once, even when it belongs to several collections. Archived items still count toward your item allowance and their photos and documents still use storage. Archiving hides an item from active views and lets you restore it later; it does not free capacity.

To free capacity, permanently delete an item you no longer need. Permanent deletion removes its associated photos and documents and cannot be undone. Storage is released after file cleanup succeeds.

Trials use the full plan allowances. Starter includes 100 items, with up to 6 photos and 3 documents per item. Plus includes 500 items, with up to 12 photos and 6 documents per item. Premier includes unlimited items and 25 GB of photo and document storage, with up to 30 files per item. Each uploaded file may be up to 20 MB.

Trial allowances apply across your account, including archived items and pending uploads. Existing invited accounts keep their current workspace allowances. Each Google account may start one trial. Trial AI assistance has a separate $1 usage allowance; normal cataloging does not consume it.

Trial expiration and retention

Trials last 30 days with the full limits of the selected plan. No credit card is required. Expiration and automatic deletion are currently paused until checkout is ready. Early trial accounts will receive at least 30 days after billing opens.

After expiry, unpaid collections become read-only and public sharing is paused. You can still view, download, export or permanently delete your items. Account-owned records and their photos and documents are scheduled for deletion 90 days after expiry, after advance email warnings. Workspaces owned by other people are not deleted. Backups are not a permanent archive: deleted content ages out under the backup retention schedule.

We send account reminders before expiry and deletion. Optional collection tips can be turned off in the trial banner. Account notices continue so you have time to export your records.
